We are seeking a professional and welcoming Receptionist to serve as the first point of contact for
our organization. This position plays a key role in creating a positive experience for all guests,
members, and callers. As Receptionist, you will be responsible for greeting visitors, managing
front-desk operations, directing inquiries, handling calls in a fast-paced environment, and
providing administrative support to the TFN Management Team, Executives, and Staff.
The Receptionist also acts as a key liaison for community members, helping them navigate
services, access information, connect with staff or departments, and assist with arrangements such as travel, event logistics, and general support.

Key Responsibilities

• Greet all visitors and direct them to the appropriate individuals, services, or resources
• Answer and route phone calls through a multi-line switchboard system
• Host meeting guests, including setting up coffee, tea, and water service
• Monitor and maintain inventory of office supplies
• Receive, log, and distribute all incoming/outgoing mail, courier deliveries, and faxes
• Maintain organized systems for fax and mail tracking
• Keep the reception and front office area clean and organized
• Operate office equipment such as copiers, fax machines, and postage machines
• Assist with travel arrangements for staff, Chief, and Council
• Coordinate catering, hall rentals, accommodations, and other arrangements for events or
functions
• Support meeting preparation, including booking venues, preparing documents, and coordinating logistics as required.                                                                                                                                                                                           
• Maintain and update the organization’s Facebook page as directed
• Provide administrative support to the Tribal Administrator and department managers
• Handle visitor and caller inquiries in a courteous and effective manner
• Support general office operations and assist other administrative staff as needed
• Perform additional duties as assigned by the HR Manager or Tribal Administrator                                                                 

Qualifications

•High school diploma or equivalent; administrative training is an asset.
• Previous experience in a receptionist or customer service role is preferred.
• Excellent interpersonal and communication skills.
• Ability to work with discretion, confidentiality, and cultural awareness.
• Strong organizational skills with the ability to multitask.
• Proficient with computers and office software (MS Word, Outlook, Excel).
• Knowledge of or willingness to learn about First Nation governance, values, and community
protocols.
• Ability to speak or understand Tla-o-qui-aht language is an asset.
• Sound judgment when dealing with sensitive or challenging situations
• Comfortable operating standard office equipment and multi-line phone systems
• Must provide a successful Criminal Record Check with Vulnerable Sector search
• Possess a valid Class 5 BC driver’s license and provide a driver’s abstract
• Occasional travel may be required
 

Working Conditions:
• Fast-paced office environment with frequent interruptions.
• Regular interaction with community members of all ages.
• May require sitting for extended periods and occasional lifting of office supplies.
• Occasional travel within the community or to attend training may be required.
